Committee Meeting Minutes 29th Jan 2010

These are the minutes taken from the committee meeting on Friday January 29th for those that were not there!

Previous & Current Meetings/Events

First, we discussed the meetings and events we had last semester. Whilst our first ever meeting was a bit of a disaster and some members thought the format didn't work, the society members that came to subsequent meetings after enjoyed the gaming sessions, but agreed that we needed more time, space and TV's.

Some of those issues have been addressed with the introduction of tournaments in Red's and extra time on a Friday, however we'll only ever be able to get more TV's if people would be willing to bring in their own. Those present agreed that the current format works, as it creates a start and end to the week.

Our members really enjoy the tournament format, and also enjoyed the trip to the Namco Funscape and would like to see a repeat of that.

We also need to make sure that we regulate game sessions so that everyone has a fair turn.

Future Events & Ideas

A list of the ideas suggested:

• Currently looking into the feasibility of a LAN.
• Xbox 360 LAN's.
• Need to research and post any UK gaming events.
• Example events: London trade events, Play.com Live etc.
• Trips to London could also including visiting the Trocadero there.
• New release game previews and demonstrations.
• Summer party in Domain with a cosplay theme.
• Organise a meal out for Chinese New Year.
• More Namco Funscape trips.
• More activity on the Steam page.
• Events such as Laser Quest or Paint Ball.
• Game films such as Prince of Persia.
• More themed nights such as Wrestling.

Game Tournament Ideas

• Audiosurf.
• Katamari.
• Soul Calibur.
• Unreal Tournament.
• Rainbow 2 Vegas.
• Quake 3.
• Gran Turismo/Forza.
• Time Splitters.
• Crash Team Racing.
• Golden Eye.
• Worms.

Ideas for Attracting New Members

• Grab people.
• Society fair in Feb/March.
• Poster spam in the Students Union.
• Bigger sized posters.
• Sponsorship if possible.
• Free food such as pizza.
• Sexy models.
• Free cake.
• Pikachu as the society mascot.
• Screenshots from games on poster.
• NU TV film.
• Advert: achievement whoring help.

Committee Members

Dan H has been active in recording videos and adding them to the YouTube page. The committee voted that he becomes an official society committee member in charge of recording society videos, running the YouTube page and advertising videos. He'll be given the title of 'Visual Communications'.

There has been some concern over the lack of activity with some committee members which, and they will be contacted to see if they wish to continue their role. UPDATE: one committee member has resigned their post before they were contacted due to a lack of time to commit to the role.

Ideas for Grant Money

• Money for food such as pizza.
• Buying a projector as the training room one is rubbish.
• Buying recharge packs for wireless controllers.

Society t-shirts. This can't be provided for by the grant money, but is a good idea on the side anyway.

• Dan will be made an official committee member: Currently waiting on a reply from the SU.
• The other committee members will be contacted: The secretary and treasurer have resigned, waiting for a reply from the SU regarding what to do next.

• Society grant form will be filled in for the deadline: Form has been filled in and sent off today.
• Organise Chinese New Year meal: Meal will be next Friday the 12th.
